Appointment Information

If you are waiting on a referral to schedule an appointment, please allow 72 hours or 3 business days for your Primary Care Provider and for our office to process your referral. Once the referral is processed, we will call you to schedule your appointment. If you haven’t heard from us after 72 hours or 3 business days, please call the number above.

Your Appointments

Please be sure to have your current insurance card(s), photo ID, and a list of current medications readily available. Especially for your first visit. Also, your insurance plan requires that we collect your copayments and coinsurance at the time of your visit. 

New Patients: please arrive 15 minutes before your scheduled appointment time to allow time to complete your registration and check-in.

Check-in process: we utilize a platform called Phreesia for our appointment reminder system and pre-registration and check-in process:

  1. Three (3) days before your appointment you’ll receive an appointment reminder from us via Phreesia, via both email and text message. It will have a link to complete your pre-registration and check-in which you can complete from your own device (computer or mobile phone). Please complete this pre-registration and check-in before you arrive for your appointment. *For those who need assistance, this can also be completed on a computer tablet in the office prior to your appointment.
  2. Then, when you arrive on the day of your appointment, come check in at the front desk and you will complete your registration and check-in by updating your medical history on a computer tablet here in the office (you may also complete your medical history via our patient portal, up to 7 days before your appointment. If you are unable to complete your pre-registration and check-in prior to your visit, please arrive at least 15 minutes prior to your appointment time to allow time to complete your registration and check-in, in our office.

Completion of additional Forms & Paperwork: please inform the front desk of all forms and paperwork you need completed by the Physician or Physician Assistant. This includes forms requested by the patient, employer, or insurance company. Forms and paperwork will not be completed completed until the paperwork fee is paid at the time of check-in. This charge is the patient’s responsibility and helps cover the administrative time it takes to complete paperwork. Please allow up to 10 business days to complete forms and paperwork.

Pertinent Medical Records & Imaging: Please bring pertinent medical records with you to your appointment. We are able to review imaging studies done at Mt Baker Imaging, CDI, and Bellingham Advanced Medical Imaging online in our office. If you had imaging studies done at other facilities outside of Whatcom County, please bring those with you on a computer disc or other electronic format.

1. X-rays, MRI’s, CT’s and Ultrasounds:

We have digital X-ray available in our office. Work done at Mt Baker Imaging, CDI, and Bellingham Advanced Medical Imaging, is available for viewing online by our physicians. However, if you have any X-rays or MRI’s, etc., done at other facilities or outside of Whatcom County, please bring these studies with you on a computer disc or other electronic format.

2. Medication Refills:

Please monitor your medications. We require 48-72 hours, or 2-3 business days to process refills.

For non-narcotic medication refills please contact your pharmacy to obtain a refill. Your pharmacy will send us a prescription refill request.

For narcotic and pain medication refill requests, please note that we do not refill prescriptions after hours, on weekends, or holidays, so please plan accordingly and contact our office before you run out. Our office follows CDC, AAOS, and Washington State Healthcare Authority guidelines, to closely manage our patients use of prescription narcotic medications.

3. Emergency Re-schedule:

Our physicians are often called to the hospital or emergency room for critically injured patients. We regret the need to re-schedule patients, but emergency surgeries are part of an Orthopedic Surgeon’s daily schedule. We appreciate your understanding and flexibility!

4. Telephone Calls:

We endeavor to return all phone calls in a prompt, efficient manner. To ensure that the patients being seen in the clinic get the complete attention from our nursing staff and providers, phone calls will be returned as soon as we are able. Please allow at least 1 business day for return calls about non-urgent issues. Please avoid leaving multiple messages about the same issue or concern as this only slows down our response time.

5. Emergency Calls:

During regular office hours, an emergency call will be handled immediately. In the event of an emergency that occurs when our office is closed, our answering service is available at (360) 715-2433. The answering service will contact the physician on call to assist you.

6. Independent Medical Exams (IMEs):

Our providers do not perform Independent Medical Examinations (IMEs), nor do they provide disability or impairment ratings.

7. Durable Medical Equipment (knee, ankle, wrist braces, etc.):

We partner with, and refer our patients to Select Orthopedics, LLC, to provide a trained and certified DME professional to fit you with the correct DME product. You can find Steve Smith, Select Orthopedics’ friendly and knowledgeable DME professional in our clinic on Tuesdays. All billing for these products is done through Select Orthopedics, LLC. You can contact them at 425-744-5646, if you have any questions or concerns. You are not obligated or required to obtain a DME product through Select Orthopedics, LLC, but we do encourage you to go through a trained and certified DME professional to find the most appropriate and well-fitted DME product, to ensure you are properly supported and heal properly. Yes, you can probably find DME items cheaper “on Amazon” but you’ll have no guarantee that you’re getting the correct product for your need, or that it will fit you properly. Shop wisely!
